A Planon Case Study
North-West University (NWU) is a multi-campus South African university serving ~65,000 students across Mahikeng, Potchefstroom and Vanderbijlpark with a large estate (1,325 buildings, 40,333 spaces and 1,344 reservable venues). Facing the Facilities Strategic Optimization Project objective to improve governance, delivery models and processes in line with the DHET Macro Infrastructure Framework, NWU needed an Integrated Workplace Management System (IWMS) to centralize maintenance, space and project management across complex campus systems.
Vetasi implemented the Planon IWMS in three phased releases—covering reactive and planned maintenance, reservation/space management, capital project and contract management—integrating 20 interfaces across nine systems (including finance) to enable real‑time cost tracking. Strong change management and in-house training produced automated work‑order routing, clearer maintenance backlogs and centralized reservations; the rollout handled ~41,609 maintenance orders and ~48,407 reservations (≈50,000 proactive reservation orders), delivered improved operational efficiency, cost visibility for budgeting and a scalable, internally supported platform.
