A Planon Case Study
Maastricht University, an international institution with 16,500 students and 4,000 staff, tasked Facility Services with managing about 500 suppliers across multiple large contracts. Contracts were previously stored in Microsoft Access with no alerting, creating a high risk of automatic renewals, wasted spend and time-consuming manual checks. Although the university had a “SAP-unless” policy, it expanded its existing Planon deployment to solve the challenge.
By extending Planon to contract management, UM now stores all agreements centrally, sends automatic expiry notifications, gives suppliers controlled self-service access, and uses single sign-on for easy adoption (95 users to date). The coordinated implementation was delivered on time and on budget; manual checking is eliminated, unnecessary costs are avoided, contract managers save substantial time and supplier oversight and customer satisfaction have improved.
