Eindhoven University of Technology Substantial utilization improvements and more cross-faculty use of meeting rooms, workspaces and study places

Eindhoven University of Technology (TU/e) — a research-driven engineering university with about 10,100 students — faced a major space challenge: rising student numbers and a Campus 2020 target to reduce floor space, while average workspace utilization sat at only 46%. Siloed faculty allocations, timetable discrepancies and frequent no-shows made it hard for students and staff to find and use meeting rooms, project spaces and study places efficiently.

TU/e extended its existing Planon platform with standardized room-booking: interactive kiosks, Planon Apps (mobile), Outlook integration and self-service tools, backed by a strong communications campaign. After three months the system processed over 30,000 reservations and produced substantial utilization gains and more cross-faculty use across the project’s 115 meeting rooms and 240 workspaces/study places; students report high satisfaction, and TU/e is now piloting sensors to further reduce no-shows and improve efficiency.
