BayWa AG is a global trading and services group active in energy, agriculture and construction with about 14,000 employees in Germany and roughly 600 properties. Faced with the sudden shift to hybrid working during the COVID‑19 pandemic, BayWa needed a fast, flexible way for staff to book rooms and workstations across its office locations while building on its existing facility management processes.

BayWa migrated its long‑running Planon IWMS to the cloud and deployed the Planon Workplace App, enabling desk and room booking (including QR‑code check‑in), FM service requests, problem reporting and workspace details. A three‑month pilot went live in summer 2021; results include lower IT and data‑centre costs, faster and more user‑friendly workspace booking, and a phased rollout to headquarter and regional offices with additional features (parking, guest registration, catering) planned.
