Virginia Commonwealth University (VCU), a top 100 research university, was struggling with overwhelming paper-based financial aid processing, storage, and retrieval across multiple campuses. Its staff faced long lines, duplicate submissions, and a filing room holding more than 680,000 documents, making it hard to process aid requests quickly and safely. VCU turned to Perceptive Software, Inc and its ImageNow enterprise document management, imaging, and workflow solution to address the challenge.

Perceptive Software, Inc implemented ImageNow, along with CaptureNow and ImageNow Fax Agent, to scan incoming documents and faxes, link them to student records in SunGard Banner, and route them electronically through workflow queues. The result was major efficiency gains: peak-season turnaround dropped to seven days, award requests that once took up to 21 days could usually be completed in about three days, and paper storage was largely eliminated through secure electronic archiving.
