Reducing Agency Usage by Co-designing an Agency Conversion Framework With London North West University Healthcare Nhs Trust (Lnw)

London North West University Healthcare NHS Trust (LNW) was struggling with high temporary staffing costs, heavy reliance on agency workers and escalated rates, plus delays caused by manual admin and late release of vacancies. LNW worked with Patchwork Health and used its Agency-Bank Conversion service to streamline the process of moving shifts and workers from agency to the staff bank.

Patchwork Health implemented an Agency Shift Replacement Tool and an Agency Worker Conversion Service to automatically convert eligible agency shifts to bank shifts and onboard agency workers into the LNW Staff Bank. The results included an 81% average fill rate, 500+ more shifts filled each month, over £64,000 saved per year through automated agency replacement, and an estimated £250,000 saved in agency premiums for every 10 locums converted, alongside onboarding lead time reduced from 6 weeks to 1 week and 500% staff bank growth in the first 6 months.
