Southlake Regional Health Centre Foundation, a Ontario-based charity that handles roughly 30,000 donations a year, faced costly, manual gift-processing and archiving workflows that relied on photocopies, banker’s boxes and large filing cabinets. The process was error-prone, time-consuming and resisted by staff worried about change and job security, so Southlake sought a digital archiving and gift-processing solution from PairSoft (integrated with Blackbaud Raiser's Edge).

PairSoft implemented a phased gift-processing and digital-archival system, enabling staff to scan, code and attach check images to records and route them through automated workflows with email notifications. The result—delivered in weeks—eliminated lost files and physical storage, put the copier largely out of service, repurposed four large cabinets, cut office-supply spending by roughly half, and gave fundraisers instant access to donor records for faster, more donor-centric responses.
