The University of California, Santa Barbara faced mounting risk and liability challenges from hundreds of student-run events while relying on a slow, paper-based approval process. With one administrator responsible for approvals, last-minute submissions, incomplete records, and difficulty meeting insurance and compliance standards left the campus and student leaders vulnerable.
UCSB implemented OrgSync’s “360 Event Planning” digital form to automate submissions, route approvals to the right stakeholders, and send built-in alerts to campus police, fire marshal, AV, and other teams. The system sped approvals, improved attendance at required meetings, created accurate rosters and archived waivers, and provided clear documentation—resulting in faster processing, stronger risk management, and better compliance.
