Department of Conservation, New Zealand Gains Ability to Rapidly Search and Share 2.2 Million Documents Anytime Anywhere, and Enhances Collaboration

The Department of Conservation (DOC) is New Zealand’s government agency responsible for protecting the country’s natural, historical, and cultural heritage across about 8 million hectares. Faced with the need to manage and share more than 2 million documents—research, meeting minutes, and policy files—across 137 offices, DOC needed faster search and remote access, simpler access control for roughly 2,000 daily users, and reliable record-retention to meet Archives New Zealand requirements.

DOC deployed ContentWorX, an Oracle-based enterprise content management cloud service built by TEAM Asparona using Oracle WebCenter Content, WebCenter Portal, BPM, Oracle Database, and Oracle identity/access technologies. The system centralized 2.2 million items, enabled keyword searches in seconds (vs. minutes), supported remote work in the field, automated two-step single sign-on and retention policies, improved collaboration and user engagement, met archiving compliance, and was rolled out to 137 offices on time and within budget.
