Trinity College, a private liberal arts college founded in 1823 with an undergraduate class of over 2,300 and roughly 575 new students each year, faced a rapidly growing volume of paper records, strict audit requirements, and limited staff resources. Locating transcripts, financial aid forms, invoices, and alumni records was time-consuming—often requiring offsite retrieval and returned calls—hindering service to students, parents, regulators, and alumni.

Trinity deployed OpenText Document Management (eDOCS DM) to centralize documents, create more than 80 custom document profiles, and populate metadata via ERP lookups. The system cut retrieval times from minutes or days to seconds, virtually eliminated misfiling, improved auditability and security, enabled instant remote access, and requires less than 5% of one administrator’s time for maintenance—allowing the college to deliver better service with fewer resources.
