The Victorian Institute of Teaching (VIT), the body that registers and supports teachers across Victorian government, Catholic and independent schools, faced fragmented records management: a legacy system that couldn’t manage electronic documents or emails, lacked an Institute-specific classification scheme, and relied on disparate local drives and a Lotus Notes database (VITIS) that risked performance issues. This made capturing, locating and accessing teacher registration and corporate information slow and inefficient, impacting business operations and compliance.
VIT selected OpenText eDOCS Document and Records Management, implemented by Knowledge Partners and integrated with VITIS, to provide a single, web-accessible repository with automatic file creation, metadata indexing and a familiar Windows-style interface. The solution centralized and properly indexed records, improved knowledge management, sped document retrieval and Freedom of Information responses, reduced paper handling, and now supports the organisation’s users more efficiently.
