SFS Reduces The Time For Reviewing Contracts By Two-Thirds And Halves Training Expenditure

SFS services AG, part of the Swiss SFS Group, faced inefficient, paper-based contract handling where contracts were stored in specialist departments and not integrated with business processes—creating legal uncertainty and time-consuming reviews across roughly 1,000 active contracts (about 300 reviewed annually). The lack of linkage between reminder data and contract documents risked missed notice periods and compliance gaps.

By leveraging existing OpenText solutions (Archive Server and Document Access for SAP) and integrating them with SAP, SFS digitalized contracts into a central, audit-proof archive with linked framework and sub-documents accessible from users’ desktops. The change cut contract review time by about 70% to under five minutes, halved training time and related costs through seamless SAP integration, and avoided additional license/maintenance expenses while ensuring legal certainty and protecting the company’s reputation.
