One of Canada’s largest institutional investors—a leading pension fund serving several hundred thousand members and managing billions in assets—faced growing regulatory, privacy, and compliance pressures while struggling with fragmented information: electronic files scattered on drives, large offsite paper archives, weak version control, and no consistent audit trail. The organization needed to secure and control program data, improve document accessibility, and reduce storage burdens.
The fund implemented the OpenText Content Suite Platform (Records Management, Document Management, Internal Controls) and Kofax Capture for imaging, centralizing records, automating workflows, enforcing retention and legal holds, and providing full audit history. The result: faster access (seconds vs. days), automated retention/disposition, stronger accountability, and major paper reduction—over 3 million documents in the repository, ~250 Records Management users, ~50 Internal Controls users, and an estimated 8,000–10,000 boxes slated for disposal—driving measurable efficiency and compliance improvements.
