Nord Ost West Informationstechnik GmbH (NOW IT), the shared IT service for five German pension insurance companies serving about 25 million insured persons and 17,000 users, faced a major records challenge: paper-based archives (including ~130 million records in one site) were costly and slow to handle, delaying responses to insured persons and risking non‑compliance with the e‑Government Act’s requirement for digital file management by 2020.
NOW IT implemented OpenText Archive Server with a central “Inbox and Research” client to digitize and consolidate archives. The system delivers sub‑two‑second access to a projected billion documents (using a 50 TB fast cache), freed more than 50 FTE from manual archive work, avoided costly moves and storage needs, cut migration/upgrade costs by over 40%, and created a legally compliant, scalable infrastructure that significantly improves administration and customer service.
