The National Institute of Allergy and Infectious Diseases (NIAID), part of the NIH, was struggling with exponential growth in electronic documents, paper-based processes, and limited collaboration across thousands of geographically dispersed staff and contractors. The Institute needed centralized, secure storage with real-time access, better workflow and metadata, enterprise search, and a solution that met complex government compliance requirements.

NIAID integrated OpenText ECM (Document Management, Records Management, Archive Server and Application Governance & Archiving for SharePoint) with its existing SharePoint environment, using a dedicated program team and phased rollouts to add workflow, metadata, search and archival capabilities. The implementation delivered secure, searchable access for ~3,600 users, supported 25 complex projects (including MVDB and the RIMS portal), reduced late awards by ~50%, improved productivity and collaboration, lowered costs, and established a scalable, compliance-ready foundation.
