KiwiRail, one of New Zealand’s largest freight operators, relied heavily on paper-based faxing for freight confirmations, crew scheduling and financial documents. Manual printing and overnight faxing — typically 300–400 confirmations a day and far more at peak times — created long processing times, lost annotations and difficulty retrieving important records.
KiwiRail implemented Open Text Fax Server (RightFax) and Open Text Document Server (Alchemy) with a virtualized Fax over IP setup integrated into its Cisco VoIP, VMware and enterprise apps (Exchange, SAP and a custom FBS Builder). Outbound confirmations are now sent and archived electronically within minutes, many fax machines have been removed, and the solution improved workflow automation, disaster recovery/high availability and customer experience.
