Karolinska Institute, one of Europe’s leading medical universities and part of Stockholm’s largest hospital system, was overwhelmed by an ever-growing volume of paper patient records, fragmented legacy systems and insecure, time-consuming archiving and retrieval processes—compounded by a 2004 merger that required integration across dozens of clinics and enterprise-wide access for clinicians.
Karolinska implemented OpenText Kofile/OpenText BPM with a web-based Internet Retrieval module, importing legacy data, applying OCR and automated document separation, and integrating with the Take Care patient administration system. The solution unified access to records, cut archived paper from 15 km to 6 km (with 30% of records in the EMR by 2004), enabled secure, fast access for thousands of staff, and delivered projected savings of up to 28 million SEK.
