Farm Credit Services of America (FCSAmerica), a financial services cooperative serving farmers and ranchers across Iowa, Nebraska, South Dakota and Wyoming, was overwhelmed by explosive information growth, unmanaged and unnecessary email, inadequate storage, and an inability to retain or dispose of records to meet policy and regulatory requirements. The organization needed a way to improve findability, enforce retention, and reduce the cost and risk associated with legacy file shares and bloated mailboxes.
Working with Axyon Consulting, FCSAmerica deployed the OpenText ECM Suite—Content Server, Records Management, Email Management for Exchange, Enterprise Connect and Archive Server—alongside a Business Information Management (BIM) rollout that cleaned shared drives, built file plans, implemented three-zone email retentions and enabled stubbing/archiving. The result: compliance with corporate retention policy, dramatically improved search and access, a reduction of more than 500,000 emails year-over-year, roughly 50% lower mailbox storage for many users, lower litigation exposure and decreased storage costs.
