European Distributor Automates Order Processing with Enterprise Content Management Solution

Cito Benelux, a Netherlands-based distributor and subsidiary of Phoenix Contact and Rittal serving the Benelux region, processed more than 600 daily orders—about 70% arriving by fax. Reliant on multiple fax machines and manual entry into its Baan ERP, the paper-based workflow caused hour-long delays, misplaced or duplicated orders, and slow access to archived documents, undermining next-day delivery commitments and customer service.

Cito implemented an integrated solution using Open Text Fax Server (RightFax), Document Server (Alchemy), OCR, a custom E-Connect workflow and Baan ERP/Exchange integration. Inbound faxes are now digitized, OCR-classified and auto-posted to the ERP within seconds, with searchable archival and automated acknowledgements. The result: faster, error-free order entry, removal of physical fax machines, improved employee productivity and customer responsiveness, better compliance and reduced energy use.
