Employee Records Go Digital at Southwark Council with OpenText and SAP

Southwark Council, the local authority for a busy London borough, needed to consolidate multiple sites into a single “green” office with no space for paper filing. That required converting roughly 6,000 employee files (about 70 pages each) into a digital format before the move, while also addressing complex retention, compliance and payroll-archiving requirements.

Working with OpenText and IT partner Serco, the council extended its existing SAP HCM with the OpenText ECM Suite (Document Access and Archiving for SAP). After a “weeding” review, HR scanned and indexed the records into SAP, trained users in about an hour, and put payroll archiving in place every six months. The result: paper eliminated from the new building, faster secure access anytime/anywhere, lower storage and transport costs, better compliance with retention rules, and improved SAP performance—now regarded as business as usual across the HR community.
