Derby City Council, the local authority for the city of Derby serving about 250,000 residents with roughly 8,000 employees, faced a move to a new headquarters with less space for paper archives, a hot‑desking model requiring remote access to documents, tighter inbound mail service levels, and needs to improve compliance, collaboration and single‑source records management.

Using OpenText Capture Center and OpenText Content Server, the council digitized inbound documents and automated mailroom processes to deliver a single version of the truth. The solution reduced paper storage and associated costs, enabled flexible electronic access for hot‑desking, improved compliance, reporting and record management, and allowed the council to run an electronic mailroom that also serves other organisations, generating revenue.
