The University of Southern Queensland had to rapidly adapt to remote work during COVID-19, using OpenText’s Content Manager alongside its ServiceHub workflow platform to keep HR processes running digitally. However, the university needed a better way to meet strict legislative recordkeeping requirements for high-risk, high-value HR documents while reducing manual filing and improving searchability.

OpenText helped the University of Southern Queensland integrate ServiceHub with Content Manager through custom API-based automation, automatically exporting records into employee files with consistent metadata, unique IDs, and exception handling. The result was seamless compliance, faster audits, and major efficiency gains: more than 8,000 to 10,000 documents are now automatically exported each year, saving thousands of dollars and reducing audit work from hours or days to minutes.
