Companies House, the UK government agency that registers and stores information on limited companies, needed to modernise its document and records management after a 2002 government whitepaper required centralised, consistent information practices. At the time documents were scattered across Groupwise email, local and shared drives with weak security and poor searchability, leaving the organisation unable to reliably meet Freedom of Information obligations or emerging compliance requirements.
Companies House implemented the OpenText ECM Suite (formerly Valid R/KYV) with a corporate file plan and organisation-wide rollout, supported by training and IT assistance. The system delivered consistent record structure and much faster search, enabled compliance with government centralisation targets and FOI requirements, boosted user adoption (about two-thirds of staff are active users), reduced document reinvention, and opened opportunities to cut physical storage and extend workflow and case management.
