BayWa AG, a diversified European agrarian, construction and energy services group with over 16,000 employees, faced a fragmented, locally run HR landscape across about 15 sites. Inconsistent paper-based file storage, long search and delivery times, heavy post-processing and the need to centralize billing while keeping local advisory services drove the company to seek an SAP-integrated digital records solution to support a wider HR reorganisation.
BayWa implemented OpenText Employee File Management for SAP and OpenText Archiving, adapting the standard filing structure and importing about 13,500 paper files; the core rollout took just 10 days and the digital files went live March 1, 2010. The solution delivered seamless SAP integration, employee and manager self-service, much faster access and reduced post-processing, increased payroll capacity per HR employee from ~250 to 350–400, eliminated paper-archive costs and enabled the new HR service centre to focus on strategic, value-added work.
