A OpenText Case Study
Acuity, a property and casualty insurer operating in 26 states with 1,300 employees and an independent agent network of nearly 25,000, faced inefficient legacy document processes: employees manually assembled correspondence from an unwieldy library of roughly 2,400 templates across three systems (including an end‑of‑life mainframe), with files frequently downloaded to desktops and no centralized repository or version control—creating governance gaps, increased risk and rising demands on business and IT resources.
To modernize, Acuity deployed a Global Forms Solution powered by OpenText Exstream™ and OpenText Exstream™ Empower Editor with partner ValueMomentum, centralizing templates, enabling browser-based, multi-channel personalized communications, converting about 1,100 templates and training 50 users, and enforcing version control through a Forms Portal to ensure compliance. Results include a 28 percent reduction in form volume, a 65 percent year‑over‑year cut in resources for form changes, expected annual savings of 70,000 business user hours and 9,000 IT hours, and improved productivity and governance; “Using OpenText, we’ve reduced the volume of forms by 28 percent, and based on business user experiences thus far, we expect annual savings of 70,000 business user hours once all of the centralized printing is complete.” Marcus Knuth Vice President for Enterprise Technology Acuity
