Migrating 14 Mid-Study Clinical Trials in 16 Months

Imperial College London, a world-renowned UK university, sought to modernize its electronic data capture (EDC) system to streamline operations and reduce costs. The key challenge was migrating 14 of its long-term, ongoing clinical trials from a legacy system without disrupting the studies, staff, or regulatory compliance. They partnered with OpenClinica to utilize its EDC, ePRO, and reporting platform to accomplish this complex task.

OpenClinica implemented a rigorous, eight-step migration process, tackling one study at a time before moving to batch migrations to mitigate risk. This meticulous approach ensured all 14 studies, involving over 1,700 patients and 150,000 forms, were successfully moved to the OpenClinica platform. The project was completed a week ahead of schedule with no study offline for more than three days and not a single data point lost. This allowed Imperial to improve user experience and better manage its vendor costs.
