The Texas State Aquarium, a nonprofit institution and accredited aquarium, faced the challenge of efficiently managing COVID-19 health documentation for nearly 200 employees and volunteers. Their existing manual process using email and spreadsheets was difficult to scale and track. They turned to the vendor OnTask to implement its Health Tracking solution to streamline this workflow.

OnTask provided a comprehensive, web-based solution that automated the submission and tracking of vaccination records and test results. The aquarium quickly realized the platform's value for streamlining HR processes, notably onboarding, by eliminating printed documents and in-person paperwork handling. The solution was so effective that the HR team is developing over 25 additional OnTask forms to replace other manual processes, significantly reducing unnecessary steps and administrative overhead.
