A OnTask Case Study
San Juan College, a public two-year college in New Mexico, faced a critical challenge when the COVID-19 pandemic prevented its 500 staff members from physically submitting annual employee contract renewals to the HR department. The college also needed a streamlined solution for managing nearly 800 vendor contracts annually. They turned to the vendor OnTask to automate these document and signature workflows, seeking a flexible alternative to their complex Enterprise Content Management system and previous tools like DocuSign that generated numerous help tickets.
By implementing the OnTask workflow automation platform, San Juan College created digital processes for employee and vendor contracts. The solution was simple to implement and allowed for remote completion of documents with multiple signatures. As a result, help tickets related to document signing dropped to zero, and the IT team could delegate form creation back to users, significantly reducing their workload. The college has since expanded its use of OnTask to manage federal program applications and other internal processes, with plans for further implementation.
