Fortune 500 Insurance Company’s legal department struggled with a manual, error-prone process for engaging nonpanel law firms: Microsoft Word forms submitted to a central mailbox led to long cycle times, lost requests, and frustrated staff. To address this, the company engaged Onit and used Onit’s Apptitude business process automation platform to reengineer the workflow.

Onit built a custom Apptitude workflow that converted Word forms to web-based forms, implemented business rule–driven routing and approvals in place of the mailbox, added open-request reminders, and created real-time dashboards. As a result, Onit’s solution reduced errors and delays, increased visibility into request volumes, types, and cycle times, freed attorneys, paralegals, and staff to focus on higher-value work, and enabled the legal team to define standard SLAs with business partners.
