Sentara Healthcare, a large not-for-profit system serving Virginia and North Carolina with 12 hospitals and hundreds of care sites, faced a major challenge: massive volumes of unstructured paper clinical documents arriving from many locations that their existing scanning tool could not reliably deliver into the Epic EMR or content platform. Slow, inconsistent capture and a lack of document descriptors made it difficult to meet service-line goals for timely integration of records and hindered billing, clinical decision-making and HIM productivity.

Working with Hyland, Sentara deployed OnBase Express Scanning plus forms management and workflow, configuring master/local settings, dropdown descriptors and barcoding to streamline capture and direct import into Epic. The solution is live at roughly 650–700 scanning locations, indexes in 0.28 seconds and now delivers 97% of documents into patient records within five minutes (an 83% improvement versus the prior 30-minute target), enabling broader departmental automation, improved throughput and projected cost savings/cost avoidance of more than $2.5 million.
