California State University East Bay, a public university with a highly diverse student body, was overwhelmed by manual transcript data entry and review during peak admissions. Processing incoming transcripts was time-consuming and error-prone, forced the registrar to pull in temporary staff, and delayed admissions decisions and transfer credit evaluations—sometimes taking up to four weeks.
By deploying Hyland’s OnBase integrated with Brainware for Transcripts, the university automated template-free OCR capture and import of course, unit and grade data directly into PeopleSoft. The automation cut peak processing time from about four weeks to one week, eliminated the need for additional temporary staff (now handled essentially by two people), sped admissions and advising, and supported remote review during the pandemic.
