Boys Town BBCRM Solution Increases Automatic Donation Processing to 82%

Boys Town, a nonprofit serving at-risk children and families, needed a better way to process millions of direct-mail donations after moving to Blackbaud CRM (BBCRM). Their existing in-house workflow was effective but became difficult to translate into BBCRM’s batch functionality, creating a need for a more efficient integration with their electronic scanning system. Omatic Software was brought in to help extend BBCRM and streamline donor validation, gift entry, and fund tracking.

Omatic Software delivered a custom BBCRM integration that imports lockbox data, matches donations to constituents by finder ID, and routes exceptions to a review queue. The solution also added a custom processing screen with check images, envelope scans, and notes to simplify review and approval. As a result, Boys Town increased automatic donation processing from 70–72% to 82%, reducing manual review to 18% and creating faster donor follow-up and operational cost savings.
