The Gym Group needed a more secure, efficient way to manage employee access as its workforce grew, staff moved between gyms, and the company expanded its use of systems like Workday and Microsoft Office 365. Manual provisioning was slow and error-prone, often taking 3–5 days for new joiners or location changes, creating an identity and access challenge. The Gym Group turned to Okta Workforce Identity to help automate these processes.

Okta automated user creation from HR into directories and streamlined access to six birthright apps with Single Sign-On, while integrating more than 10 core applications overall. As a result, The Gym Group achieved 100% automated directory creation for new joiners, saved 25 IT hours per year on manual data entry, and avoided about 450 hours of manual provisioning and £17K in annual IT costs. Okta also reduced potential MFA challenges by 90%, improving both security and day-one access for employees.
