Scottish Fire and Rescue Service (SFRS), the world’s fourth largest fire and rescue service with about 8,000 staff including 3,400 retained and volunteer crew, faced a manual, paper-based timesheet and payroll process across 274 stations. Retained Duty Service (RDS) members logged hours on paper that were transcribed into spreadsheets, creating some 3,000 monthly files, consuming over 10,000 staff hours a year and generating errors, delays and extra administrative work.
SFRS worked with partner Synergi to deploy a Nintex-based mobile timesheet and workflow solution on Office 365: crews record hours via a mobile app, data is validated, routed for approvals and integrated directly with payroll systems. The change is expected to save more than 10,000 hours annually, reduce payroll errors, improve accuracy and visibility, provide 24/7 access and faster, more transparent pay—boosting employee experience and operational efficiency.
