Matchis Foundation is the Dutch center for volunteer stem cell donors, holding over 326,000 potential donors and growing by 30–40k a year. With matched donor requests rising about 20% annually, the charity faced time‑consuming, manual administrative and medical checks that risked delays and compliance issues; it needed an automated way to manage and increasingly frequent, tightly regulated donor workflows without expanding staff.
Implemented by Indocs, a Nintex K2 Five workflow automates form generation, task checklists and email handling, giving the team clear visibility, standardized processes and regulatory assurance. The solution saves roughly 2¼ hours per donor (about 75 minutes on forms plus email time), around 12 days of administration per month (≈90 hours), and enables a 20% increase in facilitated donations with the same staff—supporting an expected rise to 250 successful donations in 2020 while reducing errors and improving collaboration.
