Villa Maria, New Zealand’s most awarded family-owned wine company, operates across multiple wineries, vineyards and export markets with 300–500 staff. Facing over 3,000 procedural documents scattered across network drives and paper manuals, the business suffered a documentation bottleneck—every process required final signoff by the quality manager—making updates, ownership and audit readiness difficult and risky.

Villa Maria implemented Nintex Promapp with a two-stage rollout and targeted training, linking the tool to its ACE continuous improvement program. The platform created a central, easy-to-use knowledge base, shifted ownership to teams and experts, consolidated ISO and health & safety manuals, and improved process change management. As a result audits became far less stressful (the company runs 16+ audits a year), compliance and best-practice sharing improved, and auditors praised the changes.
