Winchester Orthopaedic Associates (WOA), a five-physician orthopaedic practice in Winchester, VA, needed to get the whole organization to adopt electronic health records and meet Meaningful Use (MU) requirements while still delivering safe, efficient patient care. Leadership worried about buy-in and whether capturing vitals and other MU data would be useful, but WOA saw MU as an opportunity to embed clinical decision tools into templates to better monitor diabetic and hypertensive patients and reduce preventable outcomes.

WOA implemented NextGen Ambulatory EHR, Practice Management and Patient Portal, ran a 30-day mock reporting period, and standardized templates and workflows. The results included $90K in MU incentives (all five providers attested), $70K in eRx incentives (2010–2011), $100K in PQRS incentives since 2009, 90% of initial MU requirements met before attestation, >70% reduction in transcription costs and a 50% cut in administrative costs, plus stronger documentation and leverage for future payer negotiations.
