Zimmer Gunsul Frasca (ZGF) Architects, a nationally recognized firm based in Portland, needed to reduce time spent hunting for project information and improve accuracy across emails, drawings, FTP exchanges and archived projects. IT set five goals—streamline email management and archiving, replace cumbersome FTP, improve document management, support project delivery workflows, and make archived information easily retrievable—so staff could spend more time on clients and design rather than admin tasks.

ZGF deployed Newforma Project Center as an enterprise PIM solution, enabling drag-and-drop email filing, indexed search of 200 file types, secure web-based file sharing with audit trails, and built-in transmittal, markup and action-item workflows; archived projects were indexed for companywide search. The result: instantaneous retrieval of project email, simpler and more secure file sharing, fully searchable documents without manual metadata, faster resolution of tasks, and measurable gains in service, accuracy and design-focused time—250 users were trained and live within a month.
