Managing all the tasks for our finance team

Lonely Planet’s UK finance team — a four-person group handling transactional, reporting and management work — needed a dynamic, weekly organiser to manage overlapping tasks and blockers while sustaining a target of roughly 21 points of work per week. Without a single, visible system, priorities, capacity and progress were hard to track.

They adopted a monday Agile-board template that’s updated weekly: tasks are added with estimated time units (1 = 1 hour, 5 = a full day), blockers are moved to a Backlog with reasons, and completed items are pulsed off. The board created clear visibility of capacity, streamlined reallocation of work, improved communication and shared responsibility across the team — so much so that Jay Francis says he’d be lost without it.
