Oak Haven Massage is a four-location wellness brand in Austin and San Antonio that grew from a single 11-room studio to more than 90 treatment rooms and roughly 16,000 massage sessions per month. Rapid expansion created a scheduling challenge: thousands of individual bookings, frequent same‑day appointments, and last‑minute cancellations or gaps that threatened revenue and tied staff to the phones instead of clients.

Using Mindbody’s online booking plus the Marketing Suite, Oak Haven automated self‑service bookings and applied behavioral targeting to fill cancellations and unfilled slots with timely, personalized messages. The result: about half of appointments are booked online, same‑day demand is better captured, therapists stay busier, revenue from missed slots is recaptured without heavy discounting, and staff can focus more on the client experience.
