Mining equipment manufacturer helps safeguard vital intellectual property with Microsoft Information Protection

Komatsu Australia, part of Komatsu, was struggling with a manual, repetitive invoice-fixing process that handled more than 52,000 invoices a year and put heavy pressure on a three-person team. Before automation, staff had to monitor a shared Outlook mailbox, extract invoice data, validate it against purchase orders, and enter it into an IBM AS400 mainframe, creating delays, errors, and downstream impacts. They turned to Microsoft Azure technologies, including Power Automate and AI Builder, to streamline the process.

Microsoft Azure implemented an unattended RPA solution with Power Automate cloud and desktop flows plus AI Builder document processing to automate invoice capture, validation, CSV creation, and mainframe entry end to end. Komatsu went from licensing to production in four weeks, automated over 1,000 invoices annually for a single supplier, and saved 300 hours per year, while also improving visibility, reducing manual effort, and supporting broader automation scale across the business.
