Finnish IT services provider builds employee collaboration with Microsoft workflow automation

Sulava, a Finnish mid-size IT services and Microsoft partner that delivers consulting and training (Azure, Power BI, Office 365, SharePoint), needed a lightweight way to keep its largely mobile workforce connected while preserving employee flexibility. With staff frequently scattered across Finland and Europe for projects and training, Sulava wanted an easy check-in mechanism to know colleagues’ locations for staffing, collaboration, and business opportunities without heavy custom coding.

They implemented a simple workflow using Microsoft Flow virtual buttons to capture device latitude/longitude, stored check-ins in SharePoint Online, used an Azure Function to enrich locations via the Google Maps API, and visualized results in Power BI. The prototype was built in days, and the solution increased cross-company collaboration, improved resourcing and customer responsiveness, and made it easier to seize last-minute opportunities while supporting flexible work.
