MetaDocs worked with Large Shipping Company, a large shipping-sector organization facing massive daily email volumes, departmental mailbox use, storage pressures, and the difficulty of making messages available to the right people without flooding everyone’s inboxes. The company needed a way for technical and other staff to access relevant historical emails without receiving every departmental message directly, and it used Microsoft Outlook, Microsoft Exchange Server, Microsoft 365, and Astris TeamWare Suite in its environment.

MetaDocs implemented Astris Search to let users find and access all messages they need on demand while keeping inboxes focused on alerts and important communications. The solution uses MessageSafe, unlimited email storage, single instance archiving, and retention policies so older departmental emails remain searchable even after they leave mailboxes, with permissions controlled for sensitive content. The case study says the search feature is used thousands of times per day and that IT no longer has to keep expanding mailbox storage, improving access, speed, and space efficiency.
