A Meeting Booster Case Study
The Ruhr-Mark Catholic Parishes Association, part of the Western Cooperation Area serving about 170 parishes and related organizations, needed a more transparent and standardized way to manage meetings across two separate locations. Their existing minutes-taking and communication processes were inconsistent, time-consuming, and relied on different tools and formats, making it difficult to support cross-site coordination. They evaluated MatchWare’s MeetingBooster as a shared meeting management and minutes solution to streamline collaboration and support face-to-face meetings with better structure.
MatchWare’s MeetingBooster was implemented for weekly management meetings, where it enabled agenda creation in advance, easy task allocation, searchable minutes, Outlook calendar integration, and automatic minutes generation and distribution at the end of each meeting. The result was a much more efficient meeting process, with reduced admin effort and improved collaboration. Measurable savings were reported at 1.53 hours per meeting, totaling 310.5 hours and about $10,867.50 in annual cost savings.
