Using MasterControl to Automate and Control Preventive Maintenance

The Tech Group — Device Division faced growing pains as its single-site, paper-based preventive maintenance (PM) system became unmanageable after expansion to multiple buildings and projects. The Automation Engineering Team needed a computerized solution to track PM tasks, CAPA/repair work orders, assets, spare parts, and proof/history of performed maintenance — but wanted to avoid the cost and validation burden of a new CMMS.

They converted paper checklists into approved PDF templates in the MasterControl Process module, assigned templates to maintenance routes and roles, and created scheduled form tasks with linked procedures, audit trails and on-demand corrective-maintenance forms. This approach eliminated the need to purchase and validate a separate CMMS, reduced out-of-frequency events, improved FDA-compliance and revision control, enabled rollout across facilities, and delivered an estimated $12,000 in hard savings while planning spare-parts integration via an external Access database.
