The New York City Department of Education, the largest public school system in the U.S., needed to modernize its attendance-tracking and document workflows, which were costly, paper-heavy, and prone to printer alignment issues. Working with Lexmark and its Document Form System (DFS), the department aimed to replace an aging mix of printers, scanners, and software that was creating delays for teachers and administrators.
Lexmark implemented a fleet of multifunction printers and a new DFS platform that printed attendance bubbles and student data on plain paper in one pass, eliminating pre-printed forms and alignment errors. The result was a 180% ROI over three years, positive net benefits in 19 months, and total benefits of about $14.4 million, along with lower maintenance, consulting, energy, and consumables costs for the New York City Department of Education.
