University of Ha’il - Customer Case Study

University of Ha’il (UoH), a rapidly growing university in northern Saudi Arabia with about 40,000 students across six campuses, faced a paper‑intensive, hard‑to‑track system for official inter‑departmental communications. The IT team needed more than a basic document repository — they required a robust enterprise content management solution to automate signed letters, improve transparency, and scale across dozens of departments and campuses.

UoH implemented Laserfiche as its ECM, using Laserfiche Workflow to digitise and automate circulation for more than 97 departments and roughly 700 users. The drag‑and‑drop workflows proved easy to build and reliably scalable; a web/mobile portal extended access offsite, and focused change management and training—backed by presidential support—drove rapid adoption. The result: real‑time tracking, redeployment of mail clerks to higher‑value tasks, university awards for e‑initiatives, and plans to expand the solution across other institutions.
