The Texas Higher Education Coordinating Board’s Loan Program Operations (LPO) handles distribution of state financial aid and manages loan collections, processing more than 1.5 million documents a year. LPO’s legacy document system couldn’t keep up with growing loan volume—requiring frequent reboots, causing 19 cumulative staff hours lost per day (about $76,000/year), manual data entry, poor transparency and delayed customer responses.
LPO implemented Laserfiche Avante, using its capture, workflow and reporting tools to automate routing, archiving and performance monitoring; LPO staff built 29 automated workflows and centralized document capture. As a result documents are processed in milliseconds instead of hours, Laserfiche Snapshot cut processing times by up to 24 hours and eliminated 66% of OSS staffing costs (~$15,000), the error rate fell to 2% despite a 12% increase in applications, and overall operating expenses dropped about 30% in the first year while reporting and auditing became instantaneous.
