Simplify Accounts Payable with Laserfiche Quick Fields

Cabarrus County implemented Laserfiche Rio across departments to centralize records as a shared service. The Accounting Department needed a faster, more reliable way to process batches of invoices and checks without applying individual barcodes, reduce physical storage, and ensure checks were scanned and retained before mailing.

They used Laserfiche Quick Fields with OmniPage Zone OCR and pattern matching to extract the advice/check number, then looked that up in the Tyler Munis system to auto-populate metadata. A custom ASP.NET utility (built with the Laserfiche SDK) compares Munis checks to Laserfiche records so missing scans can be retrieved on demand. The result: two file rooms eliminated, staff freed from one-by-one processing to higher-value work, much faster audit response (e.g., two years of phone invoices shared in five minutes), and reduced risk of mailing unscanned checks.
