New Caney Independent School District’s District-Wide Digital Transformation of Student and Employee Records

New Caney Independent School District, serving more than 15,000 students across 18 campuses and growing at 7% annually, faced exploding paper archives, manual processes and mounting compliance challenges. Superintendent Kenn Franklin launched a five-year paperless initiative and, after evaluating options, the district selected Laserfiche for its search, electronic forms and workflow automation to digitize records and streamline operations.

Using Laserfiche Forms and Workflow, the district digitized HR contract workflows and over 17,000 cumulative student folders, ultimately converting more than 370,000 HR records and over 2 million student records and processes without heavy IT support. The program saved the district over $550,000 vs. outsourcing, cut enrollment processing time by 75% (from two hours to under 30 minutes) with forms available district-wide within 24 hours, reduced file transfer times from 45 minutes to two minutes, and strengthened FERPA/HIPAA compliance with granular access controls and automated retention schedules.
